Refund & Cancellation Policy

1. What this policy covers

This policy applies to creative services provided by OPTML LLC — creative direction, motion design and animation, brand systems, product and interface animation, digital product design and development, and content retainers. It forms part of the Terms of Service.

These are commissioned professional services, not goods and not a subscription product. Work is produced specifically for one client and cannot be resold, so refunds are tied to what has actually been performed at the point of cancellation rather than to a fixed return window.

2. Fixed-price projects

Fixed-price projects are billed in milestone installments. Each installment is payment for a defined phase of the project.

  • Completed phases are non-refundable. Once a phase has been delivered, the installment covering it has been earned and is not refundable.
  • A phase in progress is settled pro rata. If you cancel partway through a phase, that phase is billed in proportion to the work completed and delivered up to the cancellation date, and the balance of that installment is refunded.
  • Future phases are not billed. Installments for phases not yet started are cancelled, or refunded in full if they were paid in advance.

On cancellation you receive the work completed and paid for to that point. Working files and project sources remain subject to Section 6 of the Terms of Service.

3. Monthly retainers

Retainers are billed monthly for the upcoming month and reserve studio capacity for that period.

  • Notice period. Either party may cancel a retainer with 30 days' written notice. The retainer ends at the close of the notice period.
  • The current month is non-refundable once it has begun, because capacity for that month has already been reserved and other work declined against it. Work continues for the remainder of the paid period.
  • Months paid in advance beyond the notice period are refunded in full.

4. Cancellation by the studio

If OPTML cancels an engagement for any reason other than your material breach of the Terms of Service, you are refunded every amount paid for work not yet delivered. Where a phase is partly complete, you may choose either to take delivery of that partial work and settle it pro rata, or to receive a full refund of that installment and take no delivery of it.

5. How to request a refund

Write to billing@optmlstudio.com with the invoice number and the reason for the request. You will get a written response, including the amount and the basis for it, within five business days.

Approved refunds are issued within ten business days of approval, through Square, to the original payment method. The credit appears against the original SQ* OPTML LLC charge. How quickly it lands after that depends on your card issuer.

6. Disputes and chargebacks

If you are unhappy with the work or with a charge, contact billing@optmlstudio.com first. Most billing questions come down to scope or timing and are resolved directly and faster than a card dispute.

Raising a chargeback before contacting the studio does not change what this policy provides, and it delays resolution for both sides.

7. Third-party costs

Costs paid to third parties on your behalf — stock footage, music licensing, typefaces, talent, or project-specific software — are non-refundable once committed, because they cannot be recovered by the studio. These costs are always agreed with you in advance.

8. Changes to this policy

This policy may be updated. The effective date at the top of the page shows when the current version took effect, and the version in force when your engagement was accepted governs that engagement.
